Advance America is committed to compliance with applicable laws, rules and regulations. We have adopted a Code of Business Conduct and Ethics (the "Code of Conduct") that provides a statement of fundamental principles and key policies and procedures that govern the conduct of our business. We have established this Hotline for the purpose of permitting employees to anonymously report suspected accounting and auditing concerns and ethics concerns as well as to report harassment and discrimination, loss prevention and safety issues, concerns over information security and privacy, operational concerns and violations of laws, regulations or our Code of Conduct. It is the responsibility of each director, officer, and employee to report suspected violations of the Code of Conduct or accounting and auditing concerns.

Understanding and acting upon any issues that exist regarding financial, accounting and/or audit matters as well as those relating to the Code of Conduct are essential components to Advance America's ability to take action and ensure the highest levels of ethical conduct.

The first place to report misconduct is to your supervisor. If your supervisor is involved or may have a conflict of interest, then report the misconduct to the next level of management. If you work in a center, you should start with your DDO, then go to your RDO, and then your Zone Executive. Most issues can be resolved by using your chain of management.

If you do not feel comfortable using your chain of management, particularly if you fear retaliation or need to remain anonymous, you may report anonymously through this HotlineYour message will be delivered directly to individuals identified in the following table. It is not necessary to call or report your issue repeatedly or leave the same message in more than one category.

  • Instances when an individual was asked to override an internal control(s), even if the override did not occur
2 Code of Business Conduct and Ethics concerns - Reported to the Internal Audit Department
  • Intentional non-compliance with state and/or federal laws and regulations such as the Gramm-Leach-Bliley Act, Fair Debt Collections Practices Act or the Anti-Money Laundering Act
3 Employment Discrimination, Sexual Harassment, and Timekeeping concerns - Reported to the Employee Relations Department
  • Conduct based on a person's protected status, e.g. race, gender, sex, religion, disability, etc. that is unwelcome, and interferes with an employee's work performance or creates an intimidating, hostile or offensive work environment
  • Unwelcome sexual advances, requests for sexual favors, and other verbal or physical conduct of a sexual nature
  • Timekeeping violations such as being instructed to work off the clock
4 Loss Prevention and Safety concerns - Reported to the Loss Prevention Department
  • Fraudulent transactions
  • Theft of cash
  • Deposit theft and/or deposit kiting
  • Falsification of documents
  • Weapons brought into the workplace
  • Other safety concerns
5 Information Security and Privacy concerns - Reported to the Information Security Department
  • Loss of a laptop or other device which contains or may contain sensitive information
  • Suspicious activity on your computer, such as unusually slow response times
  • Unknown individual working alone at another person's computer
6 Field Operational concerns - Reported to the Central Operations Department
  • Intentional non-compliance with policies and processes in the field Operations Manuals such as:
    • opening/closing center outside of posted hours;
    • loan improperly rolled over; and
    • loan provided without proper identification.

 

A special note about remaining anonymous. Reports to the Hotline that do not include the associate's name are completely anonymous; however, providing your name may expedite the time it takes the Company to respond to your report or question and it also allows the Company to directly contact you if necessary during any investigation. Please be assured that every effort will be made to protect your confidentiality. As each of the individuals identified above investigates the reported concern, it may become clear who brought forth the allegation because there may be a limited number of people who have access to specific information about the situation. There also may be times during the course of an investigation where the name of the associate will be shared but only on a need to know basis in order to properly complete the investigation.

A special note about fear of retaliation. No one will be subject to retaliation because of a good faith report of suspected misconduct. If employees believe that retaliation has occurred, they should report it to Employee Relations or the Hotline, Employment Harassment/ Discrimination concerns.
