AIMCo recognizes that circumstances may exist where an employee or other individual may not feel comfortable disclosing his or her identity when making a report as described in AIMCo's Confidential Reporting Policy. In that instance, employees or other third-parties may make use of the AIMCo anonymous reporting hotline. The anonymous hotline is operated by West Corporation which has put into place comprehensive processes to maintain the anonymity of those who wish to file a report, including altering the voice on voicemail messages received and only providing the text of messages sent to West Corporation.
To facilitate an effective investigation, a reporter should:
- Provide as much detail as possible, including a description of the incident, dates, names and any other pertinent information.
- Check back to this site on a regular basis to follow-up on the status of the investigation and/or answer any questions the investigator of the report may post. For this purpose a reporter will be provided with a case number that will permit the reporter to follow-up on the status of the investigation and/or answer any questions.
Prompt replies from reporters to such communications help facilitate a timely investigation.
Although a person making an anonymous report may be advised that maintaining anonymity could hinder an effective investigation, the anonymity of the person making the report shall be maintained as long as the person so desires or until required otherwise by law.
Anonymous reports made through the hotlines described below will be forwarded to the Chief Legal Officer and the Chief Corporate Officer or the Chair of Audit Committee.
Reports Made Directly to the Chair of the Audit Committe
In certain circumstances, reports may be sent directly to the attention of the Chair of Audit Committee. The Chair of the Audit Committee has the ability and authority to investigate any alleged or suspected wrongdoing brought to its attention or within the scope of its responsibilities and to retain internal or external legal, accounting or other professional advisers as needed.
